In this post, we talk about how new technology pops up in the market every day. In order to succeed long term, your business needs to have a strategy on what technology is important to transforming your business.

Procurement

In our opinion, the most profound new technology category in the procurement world, is how we connect with our suppliers. This connectivity covers key functional areas, such as sourcing, master data management, purchase to pay, supplier relationship management, and security of supply. The most critical aspect of all of these capabilities, is the ability to share a single basis for how the data is managed. World-class, disparate systems that don’t talk to one another, severely limit the exponential value that they could provide if the data was not in silos.

Once you have some or all of these technologies in place, you can begin to harness efficiencies in how you manage your suppliers - including how they manage themselves within your platforms, whether it’s managing their proposals or their bank information so that they can be paid. If you are at a stage where you have a formalized supplier relationship management program, all of your strategic “views” of your suppliers will roll up to once place. No more data dumps and sloppy PowerPoint preparation.

Travel & Meetings

If there is continuous innovation in the procurement tech space, the pace of innovation in the travel & meetings industries is certainly breakneck. The travel & tourism industry had a staggering $2.3 TRILLION USD impact in 2017, including the support of 108 Million jobs. It’s no surprise that this industry, which operates largely on technology from half a century ago, is ripe for disruption.

As your company begins its travel strategy and program, a key platform for data, much like in the pure procurement space, is absolutely necessary. This central repository could likely be your booking and expense tool, such as Concur. There are other new players in the market however, which may make the choice of where to warehouse your data quite the challenge. If your focus is on “value,” then platforms like TripActions or Rocketrip may be exciting. If you are focused on compliance, technology from companies like Moneo or Appzen might be where you will turn. At the end of the day, it’s still important that all of your tools connect and you house one easily accessible, consolidated set of data.

The largest challenge in both areas, is working with tools and workflows which are flexible in nature. The risk of “lock-in” is huge and the inability to switch platforms or suppliers can limit the growth of your business in the future.

In terms of red flags to be on the lookout for, there are two in our experience to be most wary of. One is simply being promised a solution that cannot be delivered. Many technology companies promise the world in order to generate early revenue to justify additional external investment, turning those funds into additional development. Don’t fall into this trap. Performance guarantees are a simple contracting method that can help you protect your own investment. The second red flag is the “push and pass”. This is a common practice in the tech industry – a sharp sales guy diligently details a set of requirements that can be met and upon contract signature, promptly disappears. Once the on-boarding process begins, those detailed requirements are nowhere to be found at the supplier and none of the technical team can figure out why certain things were promised - because they simply aren’t available. You’ve been warned!

 

What's your strategy?

p5 focuses on two areas of your business: procurement and travel. Our question to you this month is, What is your strategy around the process? Do you have checkpoints & approvals for every step of your process, or do you have more of a free-flowing environment?

Neither is wrong, neither is right. It's simply important that your process fits your culture and your strategic imperatives as a business.

Procurement -> Purchasing: When it comes to managing your purchase to pay process, where is your main focus? If it's optimizing your budget, do you have the proper assurances built? Whether it's a formal approval or a zero tolerance culture, was the proper commercial role (buyer, purchasing/supply chain manager, etc.) engaged? If it's speed & agility, do you have the back-end systems in place to ensure that you can track the spend and pay your suppliers on time?

Travel:  Does your business travel the way you feel is best for its future? How do you and your travelers book travel? Individually or with an Executive Administrative Assistant? Is it booked online or over the phone / via email? Do you have a "program?" Is that program built around an online travel agency (OTA) or do you have a formal agreement with a service-oriented travel agency?

Your business must decide how it wants to travel.

This returns to the question on procurement strategy -> do you want a formal process with many checkpoints or do you want speed and agility? Can you put a value on either end of the spectrum? What is that value in terms of expenses and human capital? Are you willing to put some of that human capital at risk for the sake of speed and agility, or will you handcuff your travelers, keeping them from being most efficient and productive for the sake of the process? These are all questions that every company will eventually have to ask themselves. It's never too early to formalize a strategy and ideally, no matter how your company grows or changes, this strategy should fit as long as the culture stays constant. 

Ultimately, streamline believes there is no wrong answer to any of these questions - other than having no answer at all!

2018 Goal: Mine is to EXPLORE

Explore the world. Explore my network. Explore every opportunity.

Explore the world. 2017 was a year of firsts in this arena (China, Singapore, Portugal, and Washington D.C. for the kids) and it left the p5 family wanting to explore even more. Getting out and exploring new destinations, whether down the road or on the other side of the world provides new cultural perspectives and new bonds in an ever-expanding network. In 2018, the aim is to explore a new destination in the Caribbean and a new "world" in the Disney universe.

Explore my network. I continue to learn about the power of your personal and professional network...not only do I run into the intersection of these two more frequently than ever, I am starting to understand how to leverage them. In 2017, I made and grew connections from conferences, on airplanes, and via my Crossfit group. In 2018, I will leverage those connections to build the p5 brand, both in person and via social media, and drive a never ending desire to learn and grow.

Explore every opportunity. In the same vein as the the drive to learn and grow, if an opportunity comes along, I want to experience every aspect of it. My definition of opportunity has also grown. Opportunity used to mean a new "job". Now the definition has morphed into an experiential meaning. Whether it's providing consultative advice to a friend or participating in new industry forums, I know that I can use these experiences to grow personally and also grow p5 into an entity that can make a difference.
